About the Role
The Event Production Associate supports the planning and execution of live, hybrid, and virtual events across our offices. This role is hands-on and operational, assisting with event setup, logistics, room readiness, and onsite support during live events.
The ideal candidate has foundational experience in event operations or event coordination, is eager to grow in the corporate event production space, and can support multiple events with strong organization and attention to detail.
This role works closely with Event Production Specialists, AV teams, Workplace teams, and vendors to ensure events run smoothly and meet quality expectations.
What You'll Do
- Assist with preparation and setup for live, hybrid, and virtual events.
- Ensure event spaces are properly staged, tested, and ready for presenters and attendees.
- Support Event Production Specialists during live events by handling logistics, timing assistance, and backstage coordination.
- Help manage event materials, checklists, load-in/out, and room resets.
- Monitor event details during execution and escalate issues to senior staff as needed.
- Assist presenters with basic needs such as slide loading, room orientation, and microphone handoff.
- Support event scheduling, documentation, and pre-production coordination tasks.
- Help maintain event equipment, supplies, and inventory.
- Partner with AV, Workplace, and Communication teams to ensure smooth execution.
Basic Qualifications
- 1-3+ years of experience in event operations, event coordination, AV support, or related roles.
Preferred Qualifications
- Experience assisting with event setup, logistics, or onsite event operations.
- Experience supporting live events in a corporate, hospitality, higher-ed, or production environment.
- Understanding of basic event production elements (timing, cues, presenter flow).
- Exposure to AV room setups, hybrid meeting tools, or backstage operations.
- Experience coordinating with facilities, workplace teams, or vendors.
- Ability to follow event SOPs, runbooks, and operational workflows.
- Interest in developing deeper skills in corporate event production.
- Familiarity with hybrid meeting platforms such as Zoom, Teams, or Webex.
- Strong organizational skills with the ability to manage checklists, timelines, and event prep tasks.
- Comfort working in fast-paced, live event environments.
- Good communication and customer service skills with internal stakeholders.
- Ability to lift, move, and set up basic event equipment when needed.
For San Francisco, CA-based roles: The base salary range for this role is USD$106,000 per year - USD$118,000 per year.
